PhotoniCare, Inc. ( is a medical device manufacturer located in Champaign, IL and Durham, NC. We believe better decisions in patient care need to be made at the front lines of medicine, prior to specialty care, so we can improve outcomes and reduce downstream healthcare costs. As a result, we’ve developed a low-cost handheld imaging platform that uses light to see through tissue. Our first product on this platform is empowering front-line providers to make better decisions about middle ear infections, the leading cause of hearing loss, antibiotic use, and surgeries in children.

PhotoniCare has developed the OtoSight Middle Ear Scope™, a handheld imager designed to look and handle like the familiar otoscope. The OtoSight provides unprecedented non-invasive views of the middle ear in real-time using our patented imaging platform technology. Alongside a real-time, high quality otoscopy image, OtoSight provides a view through the eardrum to directly visualize the contents in the middle ear.

Job Summary

PhotoniCare is looking for a highly organized professional tasked with supporting administration of our reimbursement efforts, as well as supporting our leadership team. The role will include regular contact with customers to ensure they are coding and billing our technology in partnership with our reimbursement team.  The role also includes calendaring, travel booking (international & domestic), meeting organization, communications support, and preparation of presentations. As a small organization, in the beginning, this role will also include some non-traditional Executive Administration duties such as acting as the “hub” of the office helping with light purchasing, assisting manufacturing with some administrative tracking, and generally helping each department as needs arise.

Essential Duties and Responsibilities

  • Supporting management with various tasks, which may include booking travel, planning meetings, assisting with tasks, working with manufacturing, assisting R&D.
  • Communicate with customers to track utilization of our novel technology and follow up with coding and billing departments at each site.
  • Able to manage complex arrangements and is technically savvy.
  • Edit & write PowerPoint presentations, Excel Spreadsheets, and Word documents.
  • Serve as a company resource and perform office manager tasks as the company grows (i.e. answering phones, ordering supplies, setting up new employees).
  • Assist team with special projects, data entry, and other duties as assigned.


  • Bachelor’s degree (or 2+ years of experience in an administrative role).
  • Excellent grammatical & writing skills.
  • Technically savvy and strong skills in GSuite & MS Office 365 (Word, Excel, PowerPoint, and Outlook); able to use various remote working platforms (Zoom, Google Meet, Slack, etc.)
